Privacy policy

Who we are

Spelling Bee Master is operated by Ark & Ember LLC. Each subscribing school district is a separate tenant with its own workspace, roster and reporting.

Student practice is accountless

Students do not create accounts and do not provide email addresses. A student enters a class code from their teacher and a nickname the teacher will recognise. Nicknames are screened for inappropriate content. We do not ask for, and do not want, student legal names, birthdates, addresses, photographs or contact details.

What we store for practice

For each attempted word we store the word, whether the spelling submitted was correct, the final submitted spelling, and the timestamp. We never record keystrokes, audio from a microphone, screen contents or device identifiers. Detailed attempt records are kept only for a short troubleshooting window (currently 45 days) and are then deleted permanently.

What we keep long term

Long-term reporting uses compact summaries: totals per nickname and word, per class and word, and weekly totals per nickname and class. These are counts, not event histories, which keeps both the privacy footprint and the operating cost small.

Staff accounts

Teachers, coaches and district stewards sign in with their district email address. We store that address, the district it belongs to, role assignments and sign-in timestamps. Staff roles are granted only for verified email addresses on a district-approved domain and only after a district steward approves the person.

District separation

Access rules are enforced in the database, not only in the interface. A district's classes, word lists, class codes, rosters and reports are visible only to that district's approved staff, and to Ark & Ember LLC platform administrators for support and billing.

No advertising, no sale of data

We do not sell or rent data, we do not serve advertising, and we do not use student practice data to train models.

Requests and questions

District officials may request correction or deletion of their district's data by contacting sbmaster@arkemberllc.com. Deleting a district removes its classes, lists, rosters and summaries.
